Terms of Service

1. What LarpLog is

LarpLog reconstructs your internship application history from recruiting email you send it, and shows anonymous, aggregated recruiting movement from other participating applicants for internships you have also applied to.

Recruiting mail reaches LarpLog through user-initiated Gmail or Outlook updates with LarpLog Connector, or through forwarding rules or individual messages you send to your LarpLog address. The Connector examines candidate messages in your selected web mailbox and sends recruiting candidates to our servers. Opening messages can mark them as read. Signing in to LarpLog itself grants no mailbox access. A Connector update may be incomplete because of mailbox layout changes, browser interruption, missing dates, resource limits, or delivery failures. Review your log and retain your original correspondence. Connector observations and imported or forwarded messages do not independently authenticate the original correspondence. They may support community access and, with contribution consent, community totals when their recruiting evidence meets our policy. This evaluation is not a guarantee of authenticity.

Using it means you agree to these terms and to the Privacy Policy. If you do not agree, do not use it.

2. What LarpLog is not

This matters more than the rest of this document, so it is near the top. LarpLog is an observation tool. It is not:

• Not an employer, recruiter, or agent of one. We are not affiliated with, endorsed by, or sponsored by any company named in the product, and we cannot influence any hiring decision. Employer names and logos identify real recruiting processes and nothing more.
• Not a source of official status. The only authority on your application is the employer. If LarpLog and the employer disagree, the employer is right.
• Not a prediction. Seeing that others reached a round does not mean you will or will not. Seeing no movement does not mean you were rejected, it means nobody using LarpLog has reported movement.
• Not career, legal, or financial advice.

3. Who can use it

• You must be at least 13. If you are under 18, you may use LarpLog only with the permission of a parent or guardian, who agrees to these terms with you.
• You are responsible for your account, for the LarpLog address issued to it, and for any forwarding you set up. Tell us at support@larplog.net if you think someone else has got into it.
• One account per person.

4. Getting your recruiting email to LarpLog

There are two ways: the browser extension, or forwarding. The rule that matters is the same for both, only give us mail you are entitled to give us. Use an email account you own or are authorised to use, and share only messages you are allowed to share with a service like this one. Doing this with somebody else’s mail is a serious breach of these terms and we will close the account.

The browser extension

The extension requires a Chromium-based desktop browser, Chrome, Edge, Brave, Arc or Opera, and currently works with Outlook on the web. Support for Gmail is not available yet.

It checks your mailbox once when you first connect it, and after that only when you ask, from a button in the app. There is no schedule and no background job. Each check opens its own Outlook window, behind whatever you are working on, and closes it when it has finished; it does not use or interfere with tabs you have open yourself. It runs only while your browser is running.

By connecting it you authorise LarpLog to process the content of recruiting messages it finds in that mailbox in order to build your application timeline, as described in the Privacy Policy. You can withdraw that authorisation at any time by disconnecting the extension in Settings or uninstalling it.

The extension is distributed as a downloadable file rather than through the Chrome Web Store. It is early software: it may miss messages, misread them, or stop working when a mail provider changes its site.

Forwarding

Only forward mail you are entitled to forward. Set up forwarding from an email account you own or are authorised to use, and send only messages you are allowed to share with a service like this one. Forwarding somebody else’s mail is a serious breach of these terms and we will close the account.

The email address you sign in with does not have to be the address your applications arrive at. Messages are matched to your account by the LarpLog address they were sent to.

Setting it up is yours to do

You configure the rule inside your own email account, and you are responsible for it being right. LarpLog receives only what your provider actually sends to your LarpLog address, and cannot see, change or repair a rule that is wrong.

Forwarding can fail, and sometimes will

Automatic forwarding is not guaranteed to capture every recruiting message. In particular:

• many universities and employers configure their email systems to block automatic forwarding to outside addresses, and that setting is theirs, not ours;
• a rule that is mistyped, disabled, or deleted stops sending anything;
• the suggested rule matches on a fixed set of terms, so a recruiting message that uses none of them is not forwarded;
• messages can be delayed or rejected in transit, or filtered as spam before they reach us.

Keep reading your own inbox and the employers’ own application portals. LarpLog is an organisational tool. It is not the authoritative record of your applications, and an application, assessment or deadline missing from LarpLog does not mean it does not exist.

Turning it off

Edit or delete the forwarding rule in your own email settings at any time, and mail stops reaching LarpLog immediately. You do not need our permission and you do not need to tell us.

Mailboxes connected under the earlier version

An earlier version of LarpLog worked by connecting a Google or Microsoft mailbox through that provider’s consent screen, with read-only access. New accounts are not offered this. Where an account still has such a connection, it remains read-only, it is still described by these terms, and you can withdraw it at any time from LarpLog’s Settings or from your provider’s account settings. What we receive and what we keep is set out in the Privacy Policy.

5. What you agree not to do

• scrape, bulk-export, or systematically harvest data from LarpLog;
• try to get past access controls, rate limits, or the thresholds that hide small rounds;
• try to work out who an individual candidate is from aggregate numbers;
• enter false application data, or otherwise try to distort the numbers other applicants see;
• create accounts automatically, or run several accounts to see more than one should;
• probe or test the security of the service without our written permission;
• use LarpLog to harass, discriminate against, or disadvantage any candidate or employee; or
• resell the service or the data in it.

6. Other applicants’ data

Access to other applicants’ numbers for an internship is earned by having sufficient application evidence for that internship, and applies to that internship alone, applying to one role at a company does not unlock the rest of it.

Numbers come from other students’ mail, are shown in bands rather than exact figures, and are suppressed entirely when too few people are in a round. They describe what participating applicants reported; they are not a census of the employer’s process. If you take part, your applications contribute anonymous records on the terms described in the Privacy Policy, and you can stop at any time.

7. Accuracy

LarpLog reads email written by other people and infers what happened. It gets things wrong: a role misread, a stage mistimed, a rejection filed as an update. You can correct anything we got wrong, and the correction sticks.

Manually forwarded messages are harder to read than redirected ones, because forwarding can replace the original sender with your own address, which is often what tells us which employer a message came from. A manually forwarded message may therefore be filed against the wrong employer, or not filed at all.

Do not make a decision that matters, declining an offer, missing a deadline, on LarpLog’s reading of a message rather than on the message itself.

8. Your content, and ours

Your data stays yours. You grant us only the permission we need to run the service for you: to process your mail, build your tracker, and include anonymous records in aggregate statistics while you have that switched on. Nothing here gives us the right to sell it or show it to anyone in a form that identifies you.

The software, design, and wording of LarpLog are ours. Employer names and logos belong to those employers.

9. Availability and changes

LarpLog is offered free of charge and provided as it is. We may change, suspend, or discontinue any part of it. If we discontinue the service, we will give you reasonable notice and a chance to export or delete your data first.

10. Ending it

You can stop at any time by deleting your account in Settings, which removes your data permanently. We may suspend or close an account that breaches these terms, or where we are required to. Sections 11 through 14 survive.

11. No warranty

LarpLog is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that anything it reports about an application is accurate or complete.

12. Limitation of liability

To the fullest extent the law allows, LarpLog and anyone working on it will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost opportunities, lost internships, lost offers, lost profits, or lost data, arising out of your use of the service, even if we were told such damages were possible.

Our total liability for any claim relating to the service is limited to the greater of the amount you paid us in the twelve months before the claim, or one hundred US dollars. Some states do not allow these limits, and where that is so, they apply only as far as the law permits.

13. Indemnity

You agree to indemnify LarpLog against claims, losses, and reasonable legal costs arising from your breach of these terms, your misuse of the service, or your forwarding mail you were not authorised to forward.

14. Disputes

These terms are governed by the laws of the State of Delaware, without regard to its conflict-of-laws rules.

Any dispute that we cannot settle informally will be resolved by binding individual arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules, rather than in court, and not as a class action. Either of us may still bring a claim in small-claims court.

You can opt out of arbitration. Email legal@larplog.net within 30 days of first accepting these terms, saying you opt out, and this section will not apply to you. Nothing else about your account changes, and we will not treat you differently for it.

Before starting arbitration, please write to legal@larplog.net. Most things are faster to fix than to argue about.

15. The rest

• If a provision is unenforceable, the rest still stands and that provision is narrowed to what the law allows.
• Not enforcing something once does not waive it.
• You may not transfer your account. We may transfer these terms as part of a merger, acquisition, or sale of assets.
• These terms and the Privacy Policy are the whole agreement between us about LarpLog.
• If we change them materially, we will tell you in the product before the change takes effect. Continuing to use LarpLog afterwards means you accept the new version.
